Retention Policies of Microsoft Outlook 2010 are part of MRM (Messaging management Record) technology. These features are available with Microsoft Exchange Server 2010 accounts. Messaging management Record (MRM) keep all the messages that are needed to comply with government regulations, organization policies, legal needs etc. We can use Retention Policies to group several Retention Tags and apply these groups to mailbox. Another feature or use of Retention Policies is that we can link or unlink Retention Tags from Retention Policies and the changes we have made can automatically take effect for all mailboxes that have the policy applied. Using Retention Policies, we can add any number of personal tags.
Retention tags are mainly used to apply Retention Settings to the folders as well as individual items such as voice mail, e-mails etc. We can specify how long a message will remain in our mailbox. Using these Retention Settings we can also specify the action that should be taken when that particular message reached the Retention age. After the Retention period of a message, it will be deleted or moved to the personal archive.
Retention Tags can be classified into three types: Default policy tag, Retention policy tags and personal tags. Default policy tags also called as DPT can be used to untagged mailbox items to the entire mailbox. Untagged mail box means the items that do not have a Retention Tags applied. Retention Policy Tags can be used to apply Retention Settings to the default folder such as Deleted Items, Sent Items, and Inbox etc. Personal tags of Microsoft Outlook 2010 can be applied to the personal folders created by the user or to individual items. We can also tag the folder or individual items even if they contain a different tag.
